Matrix uses document management to meet mandates

Matrix Technology, an Ontario-based electronic materials distributor to the aerospace, electronics, telecommunications, and transportation industries, has exacting document requirements with certain customers who charge penalties for errors. To handle the mandates, Matrix completely automated its purchase order-to-invoice and shipping document process via Optio Software’s document process solution. Matrix uses the system to develop document forms to meet specific customer requirements, eliminating manual errors and streamlining the flow.
“With Optio the new forms don’t really even represent a form to me anymore,” says Andrew Quick, Matrix Technology’s operations manager. “Each represents a procedure that we are improving, or a process that we are eliminating. A process I thought was going to save paper actually is saving time and employee resources.”
Matrix has saved three full-time employees up to 29 hours a week by eliminating manual document processing to fulfill orders. Printing and mailing costs also decreased as shipping notices and invoices are transmitted electronically.
